Our Head Office department is located in the heart of Piccadilly and occupies the 5th & 6th floor of our beautiful flagship store. This central London location, offers so much to explore including restaurants, bars, cultural sites, shopping and more, and only a short walk from the Green Park Tube Station and plenty of bus stops.

Role Purpose:

Fortnum & Mason is seeking a part time deputy archivist to work in the Piccadilly headquarters and the company archive store in Clerkenwell. The role sits within the Marketing Department and supports the company archivist. Principal duties include assisting the company archivist and Transformation Team in setting up a digital records management service, which will support the current business requirements, and ensure that the material is available for long term research for internal and external enquirers. Responsibilities also include cataloguing and accessioning, and managing the ongoing digitisation project. There will be opportunities to engage with all the stakeholders (including customers) in this long-standing and growing company, and to disseminate findings from the archive and artefact collections.


The Deputy Archivist will work in conjunction with the Company archivist in preserving the physical and digital intellectual real estate of the business and to distribute this knowledge. Crucially, the role holder will assist in creating a new records management service, providing long term efficiencies, and ensuring valuable intellectual assets are being preserved and made accessible to future generations.

Key Accountabilities

  • Cataloguing & Accessioning, including maintenance of AtoM software
  • Preservation of physical archives to meet required industry standards
  • Managing the ongoing digitisation project, including creation of metadata, workflow, quality control and ingest into software system
  • Work collaboratively with other internal departments, e.g. Package Design, Marketing and Buying
  • Support in establishing a records management service, include complete data audit, creation of retention schedule to be used by the business, and training staff and advise on potential software options
  • To assist in establishing digital preservation of valuable company assets to international standards
  • Any other duties that may be required.

  • Excellent communication skills
  • Good project management skills
  • Resilience and be able to manage stakeholders at all levels
  • Be able to embrace the challenges and opportunities working with digital records
  • An ability to challenge, build credibility with a wide range of audiences
  • Ideally looking for someone with experience who has up to date knowledge and practical experience of implementing a record management service
